An appointment reminder text is the cheapest no-show prevention there is. Most people who miss appointments didn’t decide to skip them; they forgot, or something changed and rescheduling felt like a hassle. A short text the day before, with an easy way to confirm or move the booking, fixes both.
Below are appointment reminder text templates you can copy for different kinds of businesses, plus the timing and wording rules that make them work. Keep them short: a standard text is 160 characters, and anything longer gets split or skimmed.
What should a reminder text include?
- Your business name, at the start. An unknown number saying “Reminder: tomorrow at 2” is easy to ignore or mistake for spam.
- The day, date and time, or the arrival window for home visits.
- A simple action: reply C to confirm, R to reschedule, or a link.
- An opt-out line, such as “Reply STOP to opt out”, especially on the first message.
General appointment reminder templates
“Hi Sam, this is Elm Street Salon. Reminder: your appointment is tomorrow, Tue Oct 14, at 2:00 pm with Jo. Reply C to confirm or R to reschedule.”
“Northgate Accounting: Hi Maria, see you Thursday 10/16 at 11:00 am. Need to change it? Reply here or call 555-0142. Reply STOP to opt out.”
Reminder templates for home service visits
For contractors, the arrival window and access matter more than an exact time.
“Brightwater Plumbing: Hi Linda, your plumber is booked for tomorrow, Wed, between 8 and 10 am. Please make sure someone 18+ is home. Reply C to confirm or R to reschedule.”
“Summit Heating and Air: Your AC tune-up is tomorrow between 12 and 2 pm. Please clear access to the indoor unit and thermostat. Reply C to confirm, R to reschedule.”
An “on the way” text on the day is just as useful: “Brightwater Plumbing: Dan is on his way and should arrive around 9:15. Reply if anything’s changed.” It’s often the difference between a technician walking up to an open door and a missed visit.
Reminders that mention a fee or deposit
If you have a cancellation policy, a polite mention in the reminder is fairer than surprising people later.
“Paws and Suds Grooming: Bella’s groom is tomorrow at 9:30 am. Please give 24 hrs notice to change it, as late cancellations are charged 50%. Reply C to confirm.”
When should you send reminder texts?
- At booking: a confirmation with the details, so the customer has them in writing.
- The day before: the main reminder. Late morning or early afternoon gives people time to rearrange.
- A couple of hours before for short appointments, or an “on the way” text for home visits.
- A week before for anything booked far ahead, like an annual service.
More than three reminders for one appointment starts to feel like nagging. Don’t send texts late at night or very early in the morning.
What happens when people reply?
Make sure someone, or something, reads the replies. A customer who texts “can we do Thursday instead?” and gets no answer is about to become a no-show anyway. If you offer “reply R to reschedule”, follow up the same day with options.
Do you need permission to send reminder texts?
In the US, yes, you should have the customer’s consent to text them, and keep a record of it. Appointment reminders are treated more gently than marketing texts, but consent still matters, and a verbal “sure” on a call can be hard to prove later. Our guide to SMS confirmations and the TCPA explains what to get and how to record it. Keep reminders strictly about the appointment; adding a promotion turns them into marketing messages with stricter rules.
How do you automate reminders?
Most booking and field service software can send reminders automatically from your calendar, and plenty of standalone reminder apps exist. Whatever you use, check three things: that it records consent, that it handles STOP replies automatically, and that customer replies reach a person. Ansdale, which is ours, books appointments during the call and sends SMS confirmations on its Growth plan and up, with a timestamped opt-in for every number.
